Instytucje finansowe pośredniczące w obrocie papierami wartościowymi lub prowadzące konta depozytowe papierów wartościowych powinny posiadać wewnętrzny regulamin przechowywania i archiwizacji dokumentów związanych z obrotem papierów wartościowych. Autorka opisuje dowody ewidencyjne (tj. dokumenty na podstawie których dokonywane są zapisy na kontach) i urządzenia ewidencyjne użytkowane w biurach maklerskich oraz przedstawia sposób ich archiwizowania.

KDPW SA is very rigorous about the observance of the rules concerning the drawing up and archiving of documents prepared by the participants of Member of the NDS. It is thus of greatest importance that documents recording securities are properly drawn up - in line with the guidelines contained in the regulations and other enactments issued by the agencies of KDPW SA and following the rules concerning the storing of those documents. Each participant should, moreover, prepare their own internal regulations concerning the drawing up and storing documents, data bases and IT system. These issues are discussed in the present article in which the author describes in detail records and recording instruments made use of in brokerage houses. KDPW SA to chack if the size of issue correlates with the number of securities in circulation controls the records of the participants of Member of the NDS and demands the elimination of the irregularities found. An inspection is carried out by analyzing documents provided by the participants, which is in line with the regulations. It my also take place in the organizational units of the participant and is performed by people authorised by the management of Member of the NDS. The person carrying out an inspection checks in particular if documents are prepared correctly and, moreover, if the participant observes the rules concerning archiving data bases which should be stored on magnetic carriers. The results of the inspection are detailed in an inspection protocol which is prepared immediately after the completion of inspection. KDPW SA informs about the found significant mistakes or about their elimination the right bodies and institutions and in particular The Stock Exchange and The Securities Commission.
